There’s a moment that happens at almost every wedding I photograph. It’s usually somewhere in the middle of the reception. The dance floor is full, the speeches have already made half the room cry, and the couple is somewhere in the middle of it all, completely present, completely surrounded by the people they love most.

They’re not thinking about whether the centerpieces are perfectly symmetrical or if the timeline is running three minutes behind. They’re just there. In it.

That moment doesn’t happen by accident. It happens because the right people are quietly handling everything else.

Choosing your Northern Michigan wedding vendor team is one of the most important decisions you’ll make in this process and one that often gets less attention than the venue or the dress. Here’s how I’d think about it…

Start with your planner

If there’s one hire I’d tell every couple to make first, it’s a planner. Not because you can’t manage the details yourself (you probably can) but because a great Northern Michigan planner doesn’t just manage details. They bring relationships.

They also tend to know each other (which matters more than you might think). A florist who has worked with your venue team a dozen times will communicate differently than one who’s never been there. A band that knows the acoustics of a particular space will sound better in it. Familiarity creates ease, and ease is what allows your day to feel effortless even when it isn’t.

Prioritize people over portfolios

Pretty work matters. But after photographing over 250 Northern Michigan weddings, I’ve come to believe that who someone is matters more than what their portfolio looks like.

The vendors who create the best experiences aren’t always the ones with the most polished Instagram feeds. They’re the ones who respond thoughtfully when something goes sideways. Who treat your family like guests rather than logistics. Who are genuinely excited about your day, not just checking it off a schedule.

When you’re meeting with potential vendors, pay attention to how they make you feel. Do they listen more than they talk? Do they ask questions about you as a couple, or do they jump straight to packages and pricing? Do they seem like someone you’d actually enjoy being around for twelve hours?

Because you will be around them for twelve hours. And so will your family.

Think about the day as a whole experience

One of the things that makes Northern Michigan weddings so special is that they’re rarely just a wedding. They’re a weekend. And the best vendor teams understand that.

A welcome dinner on Thursday. A boat day on Friday. The wedding on Saturday. A morning-after brunch before everyone heads to the airport. On music: The energy of your reception lives and dies with your band or DJ. I’ve watched a perfectly designed room fall flat because the music didn’t fit the crowd, and I’ve watched a simple tent come absolutely alive because the band read the room and never let it go.
